Records/Archives
Council has a responsibility to preserve the records created and received in the course of its day-to-day operations.
These records record the development of Council from its beginning in 1989 and also its predecessors before 1989. They illustrate the structure, policy, format, financing methods and functions of the organisation.
Under the Public Records Act 2005, Council stores all communications and reports on its electronic document management system.
Council also has a off-site storage facility for hard copy material in Invercargill.
Property Files
Property files are available for public viewing. Files include information on building consents and resource consents decisions. Note: Council holds no records of buildings prior to 1942 and records from 1942 through to the 1980s may not be on file.
What do I need to do to view a property file?
You will need to know the full address of the property including the RAPID or street number and the road or street name. If the property is on a state highway you need to know the road name for that piece of road.
Invercargill Office
If you are in Invercargill you can come into our offices and request to view a property file. Please allow approximately 5 to 10 minutes for the file to be retrieved and delivered to the front counter.
Area Offices
You can ask for a property file to be sent to one of our area offices for viewing. It takes 1 to 3 days for the file to be delivered to the area office. To order a property file for viewing at an area office please ring in advance, you will be told at the time when the file will be delivered to the area office.
Charges
There is no charge for viewing a property file; however there is a charge for photocopying ($1 for each A4 sheet and $1.50 for each A3 sheet).
Searches for historic information incur a search fee of $30.80.
It is important to note that a property file does not contain all the information provided in a LIM (Land Information Memorandum). Where broader and more detailed information is required a LIM is recommended.
